Copying a user extension to an unassigned extension

About this task

Copy an existing user extension to an unassigned extension to create a user extension with the same settings. Then, assign this extension to a new user. You can select to copy user settings, device settings, and group memberships of the extension.

Procedure

  1. From the Admin Portal homepage, click Users > User List > Users with Extensions.
  2. Next to the user to copy, click the More icon.
  3. Click Copy and Assign.

    Avaya Cloud Office Service Web displays the Copy and Assign window.

  4. Select Use unassigned extension and click Next.
  5. On the Select Unassigned Extension tab, do one of the following:
    • To select an unassigned extension with a phone, on the Users with Devices subtab, select the extension.

    • To select an unassigned extension without a phone, on the Users without Devices subtab, select the extension.

  6. Click Next.
  7. On the Copy Settings tab, select the check boxes of the settings to copy and click Next.
  8. On the Assign New User tab, in the Setup Option section, select one of the following options:
    • Send invite: Send a welcome email to the user or users with an activation link.

    • Activate by assigning credentials: Assign credentials to the user or users. You must create a password, a PIN, and a security question with an answer for the user. Users do not receive a welcome email.

      When you select Activate by assigning credentials, Avaya Cloud Office Service Web displays the Credentials section alongside the New User Info and Settings sections.

    • Activate later: Set up users now, but activate them later. Users do not receive a welcome email.

  9. If you select Activate by assigning credentials, do the following:
    1. In the Credentials section, complete the Password, Reenter Password, PIN, and Reenter PIN fields.
    2. From the Security Question list, select a security question for the user.
    3. In the Answer field, type an answer for the security question on behalf of the user.
    4. Optional To set an emergency response location for the user, in the Emergency Response Location section, click Add.
  10. In the New User Info section, complete the following fields:
    • First Name

    • Last Name

    • Email Address

  11. Optional To require the user to have a unique email ID, select Users require unique email IDs.

    This option is available only when activating by assigning credentials or activating later.

  12. Optional Click Verify Email Uniqueness.
    • If the email address is unique, Avaya Cloud Office Service Web displays a notification window confirming its uniqueness.

    • If the email address is not unique, Avaya Cloud Office Service Web displays the Duplicate Email Association window from where you can edit duplicate email addresses.

  13. Optional To change the extension number, in the Extension Number field, edit the number.
  14. Optional Complete the following fields:
    • Contact Phone

      You can select the Publish in Company Directory check box to publish the user's contact phone in the company directory.

    • Mobile Phone

      You can select the Publish in Company Directory check box to publish the user's mobile phone number in the company directory.

    • Job Title

    • Department

  15. Optional If you have multiple sites, select one from the Site list.
  16. Optional In the Settings section, select or clear the following check boxes:
    • Yes, I would like to receive information on product education, training materials, etc.

    • Include User in Company Directory

  17. Click Copy and Assign.
