IP Office Media Manager

Voicemail Pro supports call recording, either triggered automatically by IP Office configuration settings or triggered manually by a user. By default, it places those recordings into the same mailboxes as used for voicemail messages. However, with Media Manager, recordings made by Voicemail Pro can be transferred to a separate archive for longer storage and where they can be searched and played.

Local Media Manager

This version of Media Manager is supported by all IP Office systems with Voicemail Pro. It runs as a service on the same server as Voicemail Pro. However, that server requires additional storage for the call recordings. The additional storage can be:

  • An additional hard-disk. The recommendation is a pair of disks configured to use Raid.

  • Cloud-based storage provided by the customer.

Administrator access to Media Manager configuration and recordings is done through IP Office Web Manager. User access to recordings is through the user portal application if allowed by an administrator. The administrator also configures which recording a user is able to access whereas administrators are able to access all recordings.

In addition to using the primary storage for recordings, the application can also be configured to further archive copies of recording to a separate DVD drive, NAS drive or cloud base storage provided by the customer.

Media Manager requires a license or subscription for full operation. It allows a 90–day trial period before licensing is enforced.

Administrators are able to access a Media Manager audit trail that allows them to see who has searched, replayed and downloaded recordings. They can also delete recordings, which again is included in the audit trail. By default the Audit trail data is available for the previous 180 days.

Centralized Media Manager

Subscription mode IP Office systems can use either local Media Manager as above or centralized Media Manager. The centralized Media Manager service, and its associated storage for recordings, are provided by the same Avaya cloud-based servers that provide the IP Office system's subscriptions.

Centralized Media Manager supports the storage of recordings for up to 365 days. However, administrators can moves copies of recordings to the customer's own cloud storage when required.
