Creating an adhoc email

About this task

You can create an adhoc email to initiate an email interaction with customers. You can compose the email during an interaction or initiate a new interaction. You can create content for the email and use the templates available in the Digital Library.

Note:

You cannot create a new email until the current adhoc email is sent or canceled.

The email widget displays the updated user interface. To enable the new user interface for the email widget, contact your administrator.

Procedure

  1. In Avaya Workspaces, click the Email icon.

    Avaya Workspaces displays the email editor with the Digital Library widget.

  2. In the From list, select the email address to send the email.
  3. Fill in the Subject and To fields.

    You must enter a maximum of 256 characters in the Subject field. You can copy and paste one or more email addresses to the To field.

  4. Optional To add attachments, click the Attachment icon.

    After you attach a file, Avaya Workspaces displays the name of the attached file in the Attachments section. You can add one attachment at a time.

  5. Optional To remove the added attachment, next to the attachment preview name, click the Delete icon.
  6. Optional To insert an inline image, click the Three Dots icon and the Image icon.

    You can also copy and paste the image into the email to insert an inline image.

  7. Optional To add a predefined email signature, click the Signature icon.

    If you did not add any email signatures in Settings, the Insert Signature window displays the No signatures found message. An email signature is configured in Application Center Administration and available when published.

  8. Optional To use a template, on the Digital Library widget, click one of the following and select a template from the list:
    • Quick Text: To insert a text template into the email.

    • URL: To add a URL template to the email.

    • FILE: To attach a file template to the email.

    • Email: To use an email template.

    You can use the Search Templates field to search for templates. When you hover over a template, you can preview the template description.

  9. Optional To view disposition codes and interaction details, click the Three Dots icon.

    Avaya Workspaces displays the Disposition Codes and Interaction Details menus. Disposition codes are used to report the outcome of the interaction.

  10. Optional To select a disposition code, click the Disposition Codes menu.

    You can set a disposition code for every interaction when the interaction is active.

    Avaya Workspaces displays the disposition codes configured in Application Center Administration.

  11. Click Send.
  12. Optional To cancel sending the email, click Discard.
