Adding external contacts to the phone system

About this task

Connect external phone systems to your Avaya Cloud Office™ phone system with Cloud Connector directory integration so that users can call external contacts. For example, you can integrate Avaya Cloud Office™ with Avaya Experience Platform™ to enable Avaya Cloud Office™ users to call Avaya Experience Platform™ agents.

The integration requires uploading a .csv file with the external contact data, such as first name, last name, email, extension number, and phone number. If you do not have a .csv file, you can download a .csv file template from Admin Portal and complete its fields following the instructions. Then, upload this .csv file to Admin Portal to add these external contacts to your phone system.

If you have a .csv file exported from the external phone system, you can upload it directly to Admin Portal, granted it has the following columns in this order:

  • FirstName

  • LastName

  • Email

  • ExtensionNumber

  • DirectNumber

If the .csv file exported from the external phone system does not follow the same structure, you can modify its columns to make it compatible.

Before you begin

Contact Avaya Support to enable Cloud Connector for your account.

Procedure

  1. From the Admin Portal homepage, click More > Account Settings > Directory Integration > Cloud Connector Directories.
  2. Select the Cloud Connector directory to use and click Bulk add or delete contacts.

    Avaya Cloud Office Service Web displays the Bulk add or delete contacts window.

  3. To obtain the .csv file template, do one of the following:
    • To receive the template in your email, in the Send Email to field, type your email and click Send.

    • To download the template to your computer, click Download.

  4. Open and prepare the .csv file.
  5. To upload the .csv file to Avaya Cloud Office Service Web, on the Bulk add or delete contacts window, click Browse.
  6. Select the .csv file from the file browser and click Open.
  7. Click Upload.

    Avaya Cloud Office Service Web displays a confirmation window stating that you will receive a notification email after the upload process is complete.

  8. Optional To send the notification email to other users, in the Additional notification recipients field, type one or more emails separated by commas.
  9. Click Submit.

Next Steps

Log in to the desktop, mobile, or web application and navigate to the Contacts tab to check if the external contacts are added. You can spot the external contacts by the External contact icon next to their username.
