Adding users with phones

About this task

Add up to 25 new users with phones or office users to Avaya Cloud Office™. Unlike mobile users, office users are assigned phone numbers and phones, including softphones.

You can choose from your unassigned phones, place an order to purchase a new phone, or use an existing SIP phone. You can also assign Avaya Cloud Office Phone App users for softphone capabilities.

Important:

Additional charges apply if there is no available license in your company account. You can view the number of available licenses while adding office users.

Procedure

  1. From the Admin Portal homepage, navigate to Users > User List > Users with Extensions.
  2. At the top-right corner of the list, click Add User.

    Avaya Cloud Office Service Web displays the Add Users window.

  3. In the Office User section, select a location from the list and click Select.

    By default, the user's location corresponds to the home country of the company account.

  4. In the corresponding fields, enter the user's email, first name, and last name.
  5. Select a cost center and a site, if applicable.
  6. Optional In the Ext. field, edit the extension number.
  7. Click the Phone list and do one of the following:
    • To assign Avaya Cloud Office Phone App, click Avaya Cloud Phone Desktop App.

    • To select a phone from the unassigned devices, click Inventory phone, select a phone, and click Done.

    • To acquire a new phone, click Purchase phone, select a phone to purchase, and click Select.

    • To assign an existing SIP phone, click Bring your own device.

  8. Click the Number list and do one of the following:
    • To select an unassigned phone number from the inventory, on the Number Inventory tab, select a phone number, and click Done.

    • To acquire a new phone number, on the New Numbers tab, select a location and an area code, select a phone number, and click Done.

  9. Optional To add more users, click + Add and repeat the steps 4 to 8.
  10. Click Next.
  11. In the Setup Option section, select one of the following options:
    • Send invite: To send a welcome email to each user with an activation link.

    • Activate by assigning credentials: To assign credentials to the user.

      You must create a password, a PIN, and a security question, and an answer for each user. Users do not receive a welcome email.

    • Activate later: To set up users now, but activate them later.

      Users do not receive a welcome email.

  12. To edit the user's role, under the Assigned Role section, click Edit Role.

    Avaya Cloud Office Service Web assigns the Standard (International) role to every user by default.

  13. Click Submit.
