Converting a phone into a common phone

About this task

Convert a phone into a common phone that any Avaya Cloud Office™ user from any department can use. Users with assigned phones, or office users, can log in to a common phone with their extension numbers and PIN codes to access their extensions and voicemail.

Common phones are available only on Premium and Ultimate subscription plans.

Before you begin

  • Ensure that the phone you are converting is registered to the Avaya Cloud Office™ phone system. If the phone is registered, you can use its serial number to find it on the User Phones or Unassigned subtabs.

  • Ensure that the phone is not assigned to any user or unassigned extension.

Procedure

  1. From the Admin Portal homepage, click Phone System > Phones & Devices > Unassigned.
  2. Click the unassigned phone to convert.
  3. On the phone page, scroll down and click Convert to Hot Desk Phone.

    Avaya Cloud Office™ displays the Convert to Hot Desk Phone window.

  4. Optional On the Configure Phone tab, in the Phone Nickname field, type the new phone name.
  5. Select a cost center, if applicable.
  6. Click Next.
  7. On the Add Emergency Address tab, do one of the following:
    • Select the emergency address.

    • Add a new address.

  8. Click Next.
  9. On the Confirm tab, scroll down and select that you accept the terms and conditions.

    Avaya Cloud Office™ includes any charges relating to taxes and fees in the order details.

  10. Click Next.
  11. To complete the order process, scroll down and click Done.

    You can view the new common phone in the Common Area Phones list.
